Tervetuloa TKO-äly ry sääntömääräiseen syyskokoukseen lauantaina 9. joulukuuta 2023 klo 13.00. Kokous järjestetään Saunat.fi Ruoholahdessa (Porkkalankatu 20, Helsinki).

Syyskokouksessa vahvistetaan toimintasuunnitelma ja talousarvio vuodelle 2024 sekä valitaan suurin osa virkailijoista vuodelle 2024, mukaan lukien esimerkiksi hallitus. Yhdistyksen kokoukseen ovat tervetulleita kaikki TKO-älyn jäsenet puheoikeudella. TKO-älyn varsinaisilla jäsenillä on lisäksi äänioikeus.

Jotta kokous saadaan alkamaan mahdollisimman pian yhden jälkeen, pyydämme osallistujia saapumaan kokouspaikalle klo 12.30 alkaen. Kokoukseen osallistujia pyydetään tarvittaessa todistamaan henkilöllisyytensä. Henkilöllisyyden voi todistaa esimerkiksi opiskelijakortilla, ajokortilla tai virallisella henkilöllisyystodistuksella.

Kokouksessa läsnä olevien nimet kirjataan viralliseen pöytäkirjaan. TKO-älyn arkistossa julkaistavasta epävirallisesta pöytäkirjaotteesta nimi voidaan pyynnöstä poistaa.

Kokoukseen on suunniteltu noin tunnin mittaista kokoustaukoa, jonka aikana osallistujat voivat nauttia kokoustarjoiluja, omia eväitään tai rakennuksen alakerran liikkeiden tarjoomuksia. Kokouksen jälkeen samassa tilassa järjestetään TKO-älyn pikkujoulusauna.

Etäosallistuminen

Syyskokoukseen on mahdollista osallistua etäyhteydellä Zoomin kautta. Myös etäosallistujia pyydetään liittymään mukaan jo klo 12.30.

Mikäli osallistut kokoukseen etäyhteydellä, valmistaudu tunnistautumaan kokoukseen liittyessäsi videoyhteydellä. Tunnistautumisen jälkeen videoyhteyttä ei vaadita.

Pyrimme tarjoamaan etäosallistujille laadukkaan etäyhteyden. Yhteyden laadun pystymme kuitenkin varmistamaan vasta kokouspäivänä.

Asiamies

Mikäli et itse pääse osallistumaan kokoukseen, varsinaisena jäsenenä voit käyttää äänioikeuttasi asiamiehen välityksellä. Asiamiehen tulee toimittaa asiamiesvaltuutuksen osoittava valtakirja kokousvirkailijoille. Sama asiamies voi edustaa itsensä lisäksi enintään yhtä jäsentä. Valtakirjamalli liitteenä.

Virkoihin ehdolle asettuminen

Virkoihin voit asettua ehdolle joko kokouksessa tai toimittamalla valtakirjan hallituksen puheenjohtajalle Mari Karlssonille (pj (at) tko-aly.fi, Telegram markkaka) tai fyysisesti jollekin hallituksen jäsenelle tai kokoukseen. Valtakirjamalli liitteenä.

Hallitusvirkaan ehdolle asettuvan tulee olla yhdistyksen varsinainen jäsen.

Jäsenyyden tarkistaminen

Tarkista jäsenyytesi ennen syyskokousta. Jäsentietosi voit tarkistaa kirjautumalla TKO-älyn nettisivuilla tko-aly.fi ja valitsemalla vasemmasta sivupalkista ‘jäsentiedot’. Sivulta ‘omat tiedot’ voit tarkistaa jäsentyyppisi (varsinaisilla jäsenillä tyyppi on ‘jäsen’). Sivulta ‘jäsenmaksu’ näet jäsenkautesi päättymispäivän. Mikäli et ole maksanut kuluvan kauden jäsenmaksua, ehdottaa sivu uuden jäsenmaksulaskun luontia. Uusien jäsenmaksujen kirjautumisessa on inhimillinen viive. Rahastonhoitaja kirjaa maksetut jäsenmaksut järjestelmään tavallisesti hallituksen kokousta edeltävänä päivänä.

Yhdistyksen sääntöjen mukaan jäsen katsotaan eronneeksi 1.12., mikäli hän ei ole maksanut kuluvan kauden jäsenmaksuaan. Mikäli jäsenyytesi on päättynyt, maksathan jäsenmaksusi viimeistään maanantaina 4.12., jotta maksu todennäköisesti ehtii vielä jäsenesitykseen, jonka hallitus käsittelee sähköpostikokouksessaan perjantaina 8.12. Mikäli maksat jäsenmaksusi vasta 4.12. jälkeen ja haluat varmistaa osallistumisoikeutesi tai vaalikelpoisuutesi syyskokouksessa, olethan yhteydessä jäsenvastaava Lassi Koistiseen (jasenvastaava (at) tko-aly.fi, Telegram klassisti). Olethan yhteydessä jäsenvastaavaan myös muissa jäsenyyteen liittyvissä ongelmatilanteissa, esimerkiksi jos koet jäsentyyppisi kaipaavan päivitystä.

Ilmoittautuminen

Kokoukseen osallistuminen EI VAADI ilmoittautumista. Mikäli kuitenkin suunnittelet tulevasi paikan päälle Ruoholahteen, voit halutessasi jättää tietosi ruokavaliostasi ja allergioistasi tällä lomakkeella https://forms.gle/MsF627Y9yQRFCKu38. Suunnittelemme vastausten perusteella kokoustarjoilut siten, että tarjoiluja riittäisi kaikille ja että kaikkien osallistujien tarpeet tulisi huomioitua. Jätäthän tietosi viimeistään torstaina 7.12., jotta ehdimme huomioimaan vastaukset tarjoiluiden suunnittelussa.

Äänestäminen

Kokouksessa on käytössä sekä avoin käsiäänestys että suljettu lippuäänestys. Etäosallistujat osallistuvat käsiäänestyksiin Zoomin toimintojen avulla tai ongelmatapauksissa videoyhteydellä. Varmista, että käytössäsi on Zoomin uusin versio.

Suljetut lippuäänestykset toteutetaan sähköisesti. VARAUDU OMALLA LAITTEELLA, jossa on internetyhteys. Äänet kerätään käyttäen OpaVotea (www.opavote.com). Koska TKO-älyn äänestys- ja vaalijärjestys (https://www.tko-aly.fi/yhdistys/vaalijarjestys) määrittelee TKO-älylle oman siirtoäänivaalitavan, äänet lasketaan omalla ohjelmalla. Ääntenlaskuohjelman repositorio löytyy osoitteesta https://github.com/mkkarl/Siirtoaanivaali2022. Ohjelma ei ole kokouskutsua lähetettäessä vielä valmis, mutta sen edistymiseen voi tutustua ja mahdollisista ongelmatilanteista pyydetään ilmoittamaan esimerkiksi issuella.

Ääntenlaskuohjelmaa kirjoitettaessa on huomattu, että TKO-älyn äänestys- ja vaalijärjestyksessä kuvatussa siirtoäänivaalitavassa on ongelmia. Ongelmista keskustellaan syyskokouksen alussa ja niiden kiertämisestä sovitaan.

Welcome to the statutory autumn general assembly of TKO-äly ry on Saturday 9 December 2023 at 1.00 pm. The meeting will be held in Saunat.fi Ruoholahti (Porkkalankatu 20, Helsinki).

The action plan and the budget for the year 2024 will be confirmed and most of the officers of the year 2024, including the board, will be elected in the meeting. All members of TKO-äly are welcome to use their right to speak. Full members of TKO-äly have the right to vote.

To start the meeting as soon as possible after 1.00 pm, we request participants to arrive from 12.30 pm onwards. The participants will be requested to identify themselves, if needed. A participant can identify themself with a student card or an official ID, for example.

Names of the participants will be listed in the official minutes of the meeting. If a participant wishes so, their name can be removed from the unofficial version, which is published in TKO-äly's online archive.

There is a plan for a break during the meeting, around one hour. During the break participants can enjoy the catering, their own snacks or the food found downstairs. After the meeting there will be TKO-äly’s pre-Christmas sauna.

Remote participation

It is possible to attend the meeting through Zoom. Remote participants are also requested to join the meeting at 12.30 pm.

If you join the meeting remotely, be prepared to prove your identity through video contact when joining. After identifying the video is not needed.

Our aim is to offer a good remote connection for the remote participants. However, we can not verify the quality of the connection until the day of the meeting.

Proxy

If you are not able to participate the meeting, as a full member you may authorize another person to act as a proxy for you and exercise the right to vote on your behalf. The proxy must provide a letter of attorney to the meeting officials on arrival. One proxy may represent, in addition to themself, a maximum of one member. A model for the letter of attorney can be found in the appendices.

Running for the offices

You may run for an office in the meeting or by delivering a mandate to the chair of the board Mari Karlsson (pj (at) tko-aly.fi, Telegram markkaka) or physically to a member of a board or to the meeting. The mandate model can be found in the appendices.

Canditates for the board must be full members of TKO-äly.

Checking up on a membership

Check your membership before the meeting. You can check your membership information by logging on the TKO-äly website (tko-aly.fi) and selecting ‘membership’ (jäsentiedot) in the left sidebar. On the ‘my info’ (omat tiedot) page, you can check your membership type (for actual members, the type is ‘member’ (jäsen)). On the ‘payment’ (jäsenmaksu) page, you can see the end date of your membership. If you have not paid the current membership fee, the page suggests creating a new membership fee invoice. There is a human delay in processing paid membership fees. The treasurer usually registers the membership fees paid into the system on the day before the board meeting.

According to the rules of the association, a member is considered to have resigned on 1st of December if they have not paid their membership fee for the current period. If your membership has ended, please pay your membership fee by Monday 4th of December at the latest, so that the fee is likely to still be registered for the membership proposal, which the board will process at its e-mail meeting on Friday 8th of December. If you do pay your membership fee only after 4th of December and want to ensure your right to participate or eligibility for election at the meeting, please contact the member coordinator Lassi Koistinen (jasenvastaava (at) tko-aly.fi, Telegram klassisti). Please also contact the member coordinator for other problems related to membership, for example if you think your member type needs updating.

Registration

Attendance at the meeting DOES NOT REQUIRE registration. However, if you are planning to come to Ruoholahti, you can leave your information about your diet and allergies with this form https://forms.gle/MsF627Y9yQRFCKu38. Based on the answers, we plan the meeting catering so that there will be enough food for everyone and that the needs of all participants will be taken into account. Please leave your details by Thursday 7th of December at the latest, so that we can take into account the answers in the catering planning.

Voting

Both an open show of hands vote and a closed ticket vote can be used at the meeting. Remote participants participate in show of hand votes using Zoom's functions or, in case of a problem, with a video connection. Make sure you have the latest version of Zoom.

Closed ticket voting is carried out electronically. PLEASE HAVE YOUR OWN DEVICE with internet access with you. The votes are collected using OpaVote (www.opavote.com). Because the voting and electoral order of TKO-äly (https://www.tko-aly.fi/yhdistys/vaalijarjestys) defines its own transfer voting method for TKO-äly, the votes are counted with our own program. The repository of the vote counting program can be found at https://github.com/mkkarl/Siirtoaanivaali2022. The program is not yet ready when the meeting invitation is sent, but you can see how it is progressing and if you notice a problem with the program you can report it by opening an issue, for example.

When writing the vote counting program, it has been noticed that there are problems with the transfer voting method described in the voting and electoral order of TKO-äly. The problems will be discussed at the beginning of the meeting and an agreement will be made on how to get around them.
